Glossary
Section titled “Glossary”The workspace glossary is a shared list of terms with their preferred translations, definitions, and usage rules. It helps every translator use the same wording for product-specific terms.
Creating a glossary entry
Section titled “Creating a glossary entry”Go to Workspace → Glossary and click New entry. Each entry has:

| Term | The source-language word or phrase |
| Definition | Optional explanation of what the term means |
| Translations | Preferred translation in each target language |
| Part of speech | Noun, verb, adjective, etc. |
| Case sensitive | Whether matching should respect capitalisation |
| Forbidden | Mark a term as forbidden — QA will flag any use of it in translations |
How the glossary appears in the editor
Section titled “How the glossary appears in the editor”When a segment’s source text contains a glossary term, it is underlined in the editor. Hover to see:
- The definition
- The preferred translation in the current target language
This helps translators stay consistent without having to look up terms manually.
Forbidden terms
Section titled “Forbidden terms”Setting a term as forbidden means translators should never use it. If a submitted translation contains a forbidden term, the QA check raises an error and blocks submission.
Use this for deprecated product names, internal jargon, or legally problematic phrasing.
Translation Memory
Section titled “Translation Memory”Translation Memory (TM) stores every approved translation and makes it available as a suggestion when a similar segment appears in the future.
How it works
Section titled “How it works”- A translator approves a translation
- Ownlate saves the source text + translation pair to the workspace TM
- Next time a segment with similar source text appears, the editor shows TM suggestions ranked by match score (0–100%)
- The translator can apply a suggestion with one click, then edit if needed
Match types
Section titled “Match types”| Score | Type |
|---|---|
| 100% | Exact match — identical source text |
| 75–99% | Fuzzy match — similar but not identical |
| < 75% | Not shown by default |
Pre-translate with TM
Section titled “Pre-translate with TM”Instead of waiting for translators to open each segment, run Pre-translate on a project:
- Go to Project → Pre-translate
- Enable Translation Memory and set a minimum match score
- Run — all segments with TM matches above the threshold are filled automatically and set to
needs_review
Segments below the threshold can be sent to an AI provider in the same run.
Managing TM entries
Section titled “Managing TM entries”Go to Workspace → Translation Memory to:
- Search and browse existing entries
- Edit incorrect target texts
- Delete outdated entries
